From four spreadsheets to one account: when to switch

Spreadsheets work until the same fact lives in three of them. A short, practical test for whether your company has reached that point.

Most small companies run on spreadsheets: one for who works here, one for project status, one for invoices, one for expenses. It works, until the same fact has to be typed into three of them and one copy is wrong.

What it costs

  • The same entry typed more than once, with a chance of error each time.
  • Numbers that are already stale when someone reads them.
  • Several copies of the same file, and nobody sure which is current.
  • Pay and personal data in shared folders with no record of who opened them.

What changes with one account

  • Someone tracks time against a Plagenda task in OrgEntity. When you bill the customer, Bookuracy offers those hours as invoice lines, and marks them billed so they are never invoiced twice.
  • A manager approves an expense claim in OrgEntity. It appears in Bookuracy as an expense, marked with where it came from. Nobody forwards a receipt.
  • You start a project in Plagenda and a Colloza zone of the same name appears with the project’s members in it.

A simple test

  • You spend more than two hours a week keeping spreadsheets in step.
  • A data error has cost you money or an awkward conversation.
  • You are past five people.
  • You cannot answer "who owes us money?" without opening several files.

If two of those are true, try one product for 14 days. Your card is charged only when the trial ends, and you can add the others later at the same per-user price or move to the bundle.

Set your company up this afternoon.

Sign-up asks for your company, the plan, and who to invite, then builds the account: first zones, first project, leave types, currency. You have 14 days before anything is charged.
